Messaging: Outbound Messages
Fax, Email, Text Messages, and EMail (DSM) are all done in the same manner and from the same place. Outbound messages may be sent (currently) from the Patient Case Screen, the Schedule, various Reports, and from the main menu under Administration -> Outbound.
Once you have selected Outbound Messaging from any of those locations you will be presented with the following Messaging Wizard.
On the first screen of the wizard, you will select the medium, or how you want the message sent. Your choices are Email, Email (DSM), Text Message or Fax.
Most of the screens through the wizard are the same regardless of the method you choose, but each choice will have a few minor differences based on the format (ie email address instead of fax number).
This example will show sending a fax.
Once you have picked Fax from the drop-down hit next.
To/From
Recipient |
Choose Ad Hoc (enter your own fax number), Patient or Doctor. If you select Patient or Doctor you will be prompted to choose a patient or doctor and the fax number will be looked up from the database. Depending on where in the system you come into the Wizard there will be other prepopulated choices available. |

Your Name |

HIPAA Note |
A note to record why you are sending the fax. If there is no PHI being sent then this may be optional. This will be recorded along with the user that sent the fax, what was sent and when it was sent. |
The next step allows you to select a predefined template that will populate the fields on the next page of the wizard which is the Subject and Body of the fax cover page. This allows you to set up boilerplate text for outgoing messages.
The drop-down allows you to select predefined (defined by you or your company) templates. The green plus sign allows you to create a new template, the pencil and paper allow you to edit the current template and the red X deletes the current template.
Pressing the Green Plus brings up the following page in the wizard:
Here I have defined a template for sending out Plan of Care letters. The Name is how the template will show in the drop-down, whereas the subject and body are the actual templates.
Hitting next takes you back to the Select Template page where ‘Plan of Care’ is now an option in the drop-down.
Pressing next takes you to the Fax Cover sheet.

Currently, there are 3 different Special attachments available. There may be more available in the future.
Once you have selected all the attachments you need and put them in the order that you wish press next you will be presented with a final confirmation and can select Finish or Cancel.
To send an email, text message, or EMail (DSM) you will follow the exact same wizard. The main choices are identical throughout and should be self-explanatory.
